Activity Approval

When setting up an activity to use a File Import or Date Recurring trigger event, you may choose to enable approval for the activity.

Enabling Activity Approval puts in place a further level of security when using File Import or Date Recurring triggers, as it allows the user to review the number of emails/SMS due to send before they are issued. 

 

What happens when Activity Approval is enabled for File Import Triggers?

1. A file is merged into the list on which the triggers operate.

2. The data is added to the list.

3. The Emails/SMS are created and held by Which50.

4. An Email is sent to all users with the Activate Journey permission in the account, containing a link to the Trigger Approval screen in Which50.

5. The user follows this link and can review the number of Emails/SMS due to send before selecting the activity and approving it.

6. The Emails/SMS are sent.

 

What happens when Activity Approval is enabled for Date Recurring Triggers?

 

1. Each day, Which50 identifies contacts in the list who are due to receive an Email/SMS on that date.

3. The Emails/SMS are created and held by Which50.

4. An email is sent to all users with the Activate Journey permission in the account, containing a link to the Trigger Approval screen in Which50.

5. The user follows this link and can review the number of Emails/SMS due to send before selecting the activity and approving it.

6. The Emails/SMS are sent.

 

What do I do if the figures are not what I expected?

The Emails/SMS will not be sent as long as they remain unapproved.

You may leave the activity unapproved until you have had time to investigate, either internally or by contacting support.

If you have further activities on the same list which you do wish to approve, please contact support.

 

How do I enable Activity Approval?

1. In the Activity Schedule, either add a new Activity or Edit an existing Activity.

2. In Step 3, tick Require Approval. Here you can choose who should receive a notification for approval, using the 'Select' option (shown in the screenshot below). The available list of Approvers contains all Which50 users on your account with the 'Activate Journey' permission. If this section is left blank, each person on the list will receive the notification to approve the Journey.

3. Save your Activity.

4. If your Journey is not active, activate your Journey.
